Express Systems

For small organisations who can use an out-of-the-box system

Who is it for?

Express systems are pre-built systems drawing on our knowledge of the sector. We have a menu of standardised systems for different types of organisation, which we’ll tweak for you, and then show you around.

Express systems are perfect for newer or simpler organisations. You’ll have a few end users, and won’t need any of the Lamplight modules. You’ll be happy using our training videos to learn how to use the system.

This is probably your first structured system. You’re probably moving from paper or Excel files. 

You have a small set of services and need to ensure that everyone can access the data they need.

How does it work?

1. We Listen

You tell us what you do and what you need, using our easy-to-use guide.

We'll get your express system setup and introduce you to it on an introductory call.

2. Learn

Over the next few weeks follow our online course to learn how to use your new system.

3. Go live

On your review call with your expert implementer you can ask any questions you have, and then you're ready to go live.

Your Implementer will stay in touch over the next months to make sure everything is running smoothly, and there's plenty of on-going support after that.

A dedicated Lamplight Implementer

Your Implementer will be your main point of contact. An expert in Lamplight and in charities, they’ll guide you through the first few weeks as you find your way around Lamplight and understand how it can work for you.

Introductory and Review calls

We’ll schedule online team calls with you to introduce you to the system, answer any questions you have, and tweak the system if needed

Fast setup and configuration of your system   

We’ll setup a fresh Lamplight for you, based on the type of work that you do.  Over nearly 20 years we’ve worked with hundreds of charities and we’ve distilled that into some standard systems for different sectors.  This means that you get all the benefits of our experience and good practice from across the sector – fast!
 

Additional training When You’re Ready

We run regular training sessions online covering different aspects of Lamplight. These are extremely affordable, so when you’re ready to take your next steps with Lamplight, we’re there. We’ll also check in with you each year to see how you’re getting on and whether there’s any more we can do to help you thrive.

personalised support 

There are hundreds of pages of fully searchable help pages built in to your system, and hours of free videos, to help you develop your skills using Lamplight. But sometimes you need to ask someone.  Support Packs provide you with up to 2 hours of personalised support, and you can use this time whenever you need it to ask a Lamplight expert your questions in the Hub.

What's the investment needed?

 

You will need to spend a couple of hours a week at the outset for the calls and your learning.

There’s no up-front financial investment needed for the Express packages, and your monthly hosting is just £35 / month + VAT

What modules can I Add with this package?

You won’t be able to add modules with Express systems. If you do require modules then that’s a sign that your requirements will be too complex to be able to be setup with the Express package.

What about multi-project systems?

A ‘Project’ in Lamplight is a separate section of your database. It has it’s own settings and data, and someone with access to one project may not have access to others. They are useful if you have some highly sensitive services (e.g. counselling) and others that are not so. They can also be useful if you have multiple sites and need to keep things separate.

Because of the complexity involved we’re not able to set up multi-project systems with this package: take a look  at our Spotlight package.

How does the setup process work?

The setup process is in three stages: hearing from the experts (you); customising your system; and then going live. 

First you’ll complete a short set up document to tell use a bit more detail about your work and any outcomes that you need to record. We’ll configure your system prior to your introductory call.

On the introductory call we’ll introduce you to the system, show you how to login and find your way around. We’ll also register you on the first training module.

Over the next few weeks you’ll be able to experiment with your new system while working through the introductory training course. 

On our review call we’ll answer any queries you have, and make any tweaks to the system you need. And then you’re good to go!

What about our existing data?

We can bring that across for you. We’ll look at what you have and what type of data it is, and give you a quote to import it into Lamplight. The amount can vary tremendously, from a few hundred pounds to several thousand.

To reduce the cost, we’d strongly recommend that you carry out some pre-migration cleaning up. Remove data tables, columns and rows that you no longer need – as a general rule, the more columns there are, the longer it takes and the more it will cost. And we can’t really do data cleaning for you, so you may want to make a start on that.


It is possible to import simple profile information into your system from a csv yourself, if you want to.

How does training work?

We run a range of training courses throughout the year which anyone in your team can attend. There’s also many hours of free training videos in the hub, a regular free “new starters” webinar for new staff, and a comprehensive manual.
